Best Help Desk Software in 2026

Help desk software is a system that turns customer emails, chats and messages into tracked tickets, routes them to agents, and keeps a shared history of every reply. Most products add a knowledge base, automation rules, reports and an AI assistant. It is different from a live chat widget alone, which handles a single channel and usually has no queue.

Quick answer

Zendesk ranks first for teams that need deep ticketing and many channels. Freshdesk is the pick when budget is tight, and Gorgias fits online stores whose volume is counted in tickets, not people.

Choosing a help desk is mostly a question of how your team is billed and how much of the work the software does on its own. Some vendors charge per agent, one prices by monthly ticket volume, and several now add a per-resolution fee for the AI layer. This ranking judges how clearly each vendor publishes what you will pay at your size, how much of the setup is needed before it is useful, what the written data terms say, and how painful leaving would be. Prices and policies come from vendor pages read in October 2026. We ran no hands-on benchmarks, so claims about response times or resolution rates are the vendors' own and are treated as marketing.

  1. 1

    Zendesk

    Zendesk, Inc. API

Zendesk ranks first because its plan ladder is public, its ticket routing and channel coverage are the broadest on this list, and AI agents arrive at the second tier instead of a custom quote. The trade-off is layering: seat fees, AI resolution allowances and add-ons such as data location each appear on separate lines. A team that already knows what it needs gets the shortest path here.

    Strong on

    • Plans step from email ticketing to omnichannel routing, messaging, live chat and phone on one login
    • Trust page lists ISO 27001:2022 and SOC 2 Type II, with reports on request under NDA
    • AWS hosting in the US, Europe and Asia/Oceania, with an EEA option through an add-on

    Weak on

    • Cost builds from seats plus AI add-ons plus data location, so the final bill is hard to forecast
    • Top tier has no public price and needs a sales conversation

Skip it if: Very small teams that only need a shared inbox, where a full suite adds admin work with little payoff. Suite Team with AI agents is 55, Suite Professional is 115. Enterprise with Copilot is quote-only.

  2. 2

    Freshdesk

    Freshworks Inc. API

Freshdesk takes second place because it is the cheapest full helpdesk with a published ladder and an AI agent included from the first paid tier. Add-ons are priced openly, including day passes for part-time staff. It trails Zendesk on routing depth and enterprise governance, and its AI-training opt-out is a manual email request, which keeps it behind the leader.

    Strong on

    • Three published tiers, from $19 to $89 per agent per month on annual billing
    • Day passes let seasonal or part-time staff in without a full seat
    • Freddy AI Copilot is an optional $29 per agent add-on on Pro and Enterprise

    Weak on

    • Excluding account data from AI training requires emailing support
    • Intelligent routing and multiple SLA policies wait until Pro, the second tier

Skip it if: Large enterprises that need deep governance reporting or autonomous multi-step AI agents at high volume. Pro is $55 and Enterprise $89. The first 500 AI Agent sessions are included, extra sessions $49 per 100.

  3. 3

    Intercom

    Intercom, Inc. API

Intercom ranks third because its helpdesk is built around the Fin agent and a messenger, so it feels more like a conversation tool than a classic ticket queue. Pricing is public, and Fin can also run on another helpdesk. Per-outcome fees make the monthly total follow volume, which is the reason it sits behind the two seat-priced suites.

    Strong on

    • Fin can be used on a current helpdesk without buying Intercom seats
    • Security page lists SOC 2 Type II, ISO 27001 and EU hosting
    • A startup program is listed on the pricing page with a large discount

    Weak on

    • Outcome fees move with ticket volume, so a spending cap matters
    • Fin can use anonymized data for fine-tuning unless you opt out

Skip it if: Teams that want one flat monthly bill, or a traditional queue with heavy SLA and routing controls. Monthly billing shows $29 for Essential. Advanced is $85 and Expert $132 per seat.

  4. 4

    Help Scout

    Help Scout PBC API

Help Scout sits fourth because its inbox is the easiest on this list for people coming from Gmail, and its prices are plain. Light users let colleagues read conversations without a full seat. It ranks below the suites because workflows, SLAs and routing are limited on the lower tiers, and its security page names no EU hosting region.

    Strong on

    • Free plan allows 5 users, 1 inbox and 100 contacts a month
    • Light users (5 on Plus, 15 on Pro) do not take a full seat
    • Envoy AI has a 3-month free trial and bills only per resolution

    Weak on

    • Security page says AWS and SOC 2 Type 2, but names no EU region
    • Only one basic SLA policy on Standard, with advanced workflows held for Plus

Skip it if: Operations with phone-heavy support, complex multi-department routing or a need for EU-only data hosting. Plus is $45 and Pro $75. The Free plan covers 5 users. Envoy AI adds $0.75 per resolution.

  5. 5

    HubSpot Service Hub

    HubSpot, Inc. API

HubSpot Service Hub lands fifth because its strength is the shared customer record: tickets, deals and marketing history are one object model. The free tier is real for two users. The cost picture is less friendly: Professional carries a mandatory onboarding fee, and agent features draw on credits at $0.010 each, so the total is harder to read than a per-seat price.

    Strong on

    • Free tier for up to 2 users with no credit card
    • Tickets share contact and company records with the CRM
    • Trust page lists SOC 2 Type II and EU Cloud Code of Conduct certification

    Weak on

    • Professional and Enterprise carry one-time onboarding fees of $1,500 and $3,500
    • AI usage runs on credits, so the monthly total depends on usage

Skip it if: Teams without HubSpot, who would take on a whole CRM platform just to get a ticket queue. Free for up to 2 users. Professional is $90 per seat annually plus $1,500 one-time onboarding.

  6. 6

    Zoho Desk

    Zoho Corporation API

Zoho Desk comes sixth because it covers a lot for the money, including a free edition for 3 users, multi-department setups and an AI layer from Professional upward. We could only read prices in rupees, and the security pages we opened named no certifications or hosting regions, so buyers need to confirm both before they sign.

    Strong on

    • Free edition for 3 users, with four paid editions above it
    • Professional adds Zia AI, blueprints, round-robin assignment and multiple departments
    • Pairs with the wider Zoho suite for CRM and finance data

    Weak on

    • Dollar prices were not shown on the pricing page we opened
    • Certifications and data center regions were not found on the pages checked

Skip it if: Buyers who need confirmed EU hosting and certification evidence from the pricing and security pages alone. Paid editions Express, Standard, Professional and Enterprise are per user, billed annually. Dollar prices were not readable.

  7. 7

    Front

    Front Systems Inc. API

Front ranks seventh because it treats support as shared email, with comments, assignment and tags inside each thread, which suits operations, account management and agencies as well as support. It gets a lower rank for support work because Starter is capped at 10 seats and 10 rules, and AI Autopilot is an add-on billed per conversation.

    Strong on

    • Hosting available in the U.S. or the EU, stated on its security page
    • SOC 2 Type II and ISO 27001 both listed
    • Autopilot, its AI agent add-on, starts at $0.05 per conversation on any plan

    Weak on

    • Starter is limited to 10 seats and one channel type
    • Copilot costs $20 per seat extra below the Enterprise tier

Skip it if: Large support centers wanting a classic ticket queue with heavy SLA reporting at a low per-seat price. Professional is $65 (up to 50 seats) and Enterprise $105. Copilot is a $20 add-on.

  8. 8

    Gorgias

    Gorgias Inc. API

Gorgias is eighth overall because it is specialized: excellent for an online store that wants refunds and order edits inside the ticket, and priced by volume so extra agents cost nothing. Outside ecommerce its advantages shrink. The security page names SOC 2 Type II and HIPAA, and the checked page was silent on EU hosting.

    Strong on

    • Helpdesk is never priced per agent, with plans from 50 to 5,000 tickets a month
    • Security page lists SOC 2 Type II and HIPAA, with reports through Vanta
    • AI Agent is billed only for conversations it handles

    Weak on

    • Ticket allowances cap quickly for busy stores, and overage rules were not checked
    • Hosting region and AI training terms were not stated on the security page

Skip it if: Non-ecommerce support teams, or buyers who need an EU hosting commitment from the vendor's public pages. Annual Basic is $50 a month for 300 tickets. The AI Agent costs extra and bills per automated interaction.

  9. 9

    Jira Service Management

    Atlassian API

Jira Service Management is ninth because it is an IT and operations desk first, and a customer support tool second. It gets points for a free tier, an EU data location on Standard and above, and tight links to Jira issues. Support teams without engineers will find the setup heavier than Help Scout or Freshdesk, which is why it ranks last here.

    Strong on

    • Free tier for 3 agents, with Standard and Premium published
    • EU data location in Frankfurt and Dublin on Standard, Premium and Enterprise
    • Requests can link directly to Jira engineering issues

    Weak on

    • Built around IT and service workflows, so customer-support defaults need configuration
    • Enterprise pricing is not published and requires contacting the sales team

Skip it if: Support teams with no Jira users, who would take on Atlassian admin work for little benefit. Free for up to 3 agents. Premium is $55.28 per agent, and Enterprise is quote-only.

How these help desk software were judged

Which help desk handles a growing ticket queue without constant admin work?

Look at routing, service-level timers and the automation limits on the plan you can afford, because the entry tier is where tools differ most. Front caps its Starter plan at 10 automation rules and 10 seats, and Help Scout holds advanced workflows for its Plus tier. Freshdesk lists intelligent routing only on Pro. Zendesk puts omnichannel routing and AI agents on Suite Team. Gorgias ties capacity to monthly tickets, from 50 on Starter to 5,000 on Advanced. Test the plan you would actually buy by loading 200 real tickets, then check whether assignment and escalation rules work without a consultant.

What does help desk software cost per agent per month in 2026?

As of October 2026, published per-agent ladders start low. Freshdesk lists $19, $55 and $89 on annual billing, and Jira Service Management shows $21.50 for Standard and $55.28 for Premium, with a free tier for 3 agents. Help Scout shows $25, $45 and $75 per user. Intercom lists $19 per seat on Essential with annual billing, and Front starts at $25 per seat. Zendesk showed euro prices of 19, 55 and 115 to us. Gorgias skips seats entirely, with helpdesk-only plans from $10 a month. Zoho Desk publishes paid editions in local currency, and we could not read dollar figures.

Where is my support data stored, and is it used to train AI?

Hosting and training terms differ more than certifications do. Front says it supports hosting in the U.S. or the EU and holds SOC 2 Type II and ISO 27001. Intercom says data is hosted in the US, EU or Australia, and that Fin can use anonymized customer data for fine-tuning unless you opt out. Zendesk uses AWS in the US, Europe and Asia/Oceania, with an EEA option through an add-on, and says outside LLM providers never train on customer data. Freshworks offers an email opt-out from AI training. Help Scout lists SOC 2 Type 2 but no EU region. For Gorgias, the EU hosting question was not answered on its security page.

How hard is it to move my tickets and macros to another help desk?

Switching a help desk is a project measured in weeks, mostly because of what is not portable. Ticket history can usually be exported, but triggers, macros, SLA policies and routing rules have to be rebuilt in the new tool. Help centers carry search ranking, so keep article URLs or set redirects. Suites with many custom fields, such as Zendesk and Zoho Desk, cost more to leave than a shared inbox like Help Scout. Per-resolution AI fees do not lock you in on contract, but they shape the budget you present to finance. Ask each vendor for a full-account export, with attachments, before the contract starts.

Which help desk fits a five-person team, a growing company or an online store?

A five-person team that mainly answers email should price Help Scout or Intercom Essential, and look at the free tiers of Help Scout, Zoho Desk and Jira Service Management. A company adding phone, chat and social channels, with managers who need reports, should compare Zendesk and Freshdesk at their second tier. An online store with seasonal spikes should try Gorgias, since a larger team costs nothing extra. Companies that already run HubSpot or Atlassian should price those desks first, because customer or engineering data sits next to the queue.

How to choose a help desk platform in three steps

  1. Price your team three ways. Write down agent count, monthly tickets and the share you hope to automate. Then price each shortlisted vendor under its own unit: per agent for Zendesk, Freshdesk and Help Scout, per ticket band for Gorgias, and per seat plus per AI resolution for Intercom and Front. A team of four with 1,200 tickets a month lands in very different places across these models. Check what a day pass, an extra inbox or an API limit costs, since those add-ons show up after the trial. Put a monthly ceiling on any AI usage fee before you switch it on.
  2. Run a two-week trial on live mail. Forward real customer email into two or three trials at the same time, not sample data. Have agents handle a normal week, then compare time to first reply, how often a ticket needed reassigning, and how long it took an admin to build one routing rule. Try the mobile app if anyone works from the field. Test the import path too, by loading 500 old tickets from your current system. A desk that looks good empty can feel different when it holds years of history and messy tags.
  3. Settle hosting and exit terms before you sign. Ask where tickets are stored, whether you can pick the EU, and who can access the data for support. Read the AI section separately: some vendors train on account data unless you opt out, and others say they do not. Ask for a sample export in a readable format, with attachments, and a written answer on how long data is kept after cancellation. Vendors that publish little, as in a couple of cases here, should answer in the data processing agreement. A marketing page is not enough for regulated customer data.

Frequently asked questions

What is the best help desk software in 2026?

Zendesk ranks first here because it publishes a clear plan ladder, covers email, chat, social and phone, and bills its AI agents per automated resolution. Freshdesk ranks second for lower cost, and Intercom third for teams that want an AI agent in the same inbox. The right pick depends on agent count, channels and budget.

Is there a good free help desk?

Several vendors offer free tiers, with limits. Help Scout's Free plan gives 5 users, 1 inbox and 100 contacts a month. Zoho Desk offers a free edition for 3 users, HubSpot for up to 2 users, and Jira Service Management for 3 agents, as of October 2026. All suit a very small team that is testing the process.

How does Gorgias pricing differ from Zendesk?

Gorgias charges by monthly ticket volume and never per agent, with helpdesk plans covering 50, 300, 2,000 or 5,000 tickets. Zendesk charges per agent per month, then adds fees for extra AI resolutions. A store with many part-time agents and moderate volume tends to pay less on Gorgias, while a large agent team with steady volume may favor Zendesk.

Which help desks let me store data in the EU?

Front says it supports hosting in the U.S. or the EU. Intercom lists US, EU and Australian hosting, and Zendesk offers European Economic Area hosting through a Data Center Location add-on. Jira Service Management supports an EU location in Frankfurt and Dublin on Standard and higher plans. Check the contract for which of your data actually moves.

How much does Help Scout cost compared with Freshdesk?

Help Scout lists $25, $45 and $75 per user per month for Standard, Plus and Pro, as of October 2026. Freshdesk lists $19, $55 and $89 per agent per month on annual billing for Growth, Pro and Enterprise. Freshdesk includes its first 500 AI Agent sessions, while Help Scout charges $0.75 per AI resolution through its Envoy add-on.

Can I add an AI agent to my existing help desk?

Often yes. Intercom says its Fin agent can run on top of your current helpdesk including Salesforce, from $0.99 per outcome with no seats required. Front sells Autopilot as an add-on starting at $0.05 per conversation, and Help Scout sells Envoy at $0.75 per resolution. Ask whether the add-on works with your inbox before you migrate.

Does a help desk vendor train AI on my tickets?

It depends on the vendor and the feature. Zendesk says third-party LLM providers do not train on customer data, though it may use service data for generic cross-account models while excluding personal data fields. Intercom says Fin can use anonymized data for fine-tuning, with an opt-out. Freshworks processes opt-outs by email. Confirm the answer in writing.

Is Jira Service Management a customer-facing help desk?

It can be, although it started as an IT service tool. Atlassian lists customer service use alongside IT and HR on its pricing page, with a free tier for 3 agents and paid tiers from $21.50 per agent per month. It suits engineering-heavy companies; a pure customer support team may find Zendesk or Help Scout simpler to run.
